Other Details
Detailed directions to the gathering site are emailed to each pre-registered attendee once registration closes as part of a welcome packet. Waivers will be signed when you check-in. Please review the following information and be prepared to adhere to our Covenants prior to registering.

The Ganesha Scholarship Fund
In honor of CrystalBear, a brother of the BTW community who passed beyond the veil in 2004, we have named the BTW scholarship the Ganesha Scholarship Fund, after the elephant-headed Hindu god who is the remover of obstacles. There are a limited number of scholarships available to cover half of the entry fee at the time of registration. Ganesha Scholarships are designed to help attendees who might not have the opportunity to come to the gathering due to financial hardship.

Merchants may not apply for scholarships. If you have previously received a Ganesha Scholarship, you cannot receive it again until you have attended BTW at least three times without making use of the scholarship program.

Ganesha Scholarships are awarded based on an evaluation of all applications received before registration closes. Selection is made on a combination of factors including financial need, diversity, scholastic intent, and willingness to contribute meaningfully to the community. All decisions made by The Green Faerie Grove with regard to the awarding of Ganesha Scholarships are final. All scholarship applicants will be notified of their status before registration closes. If you have not been chosen to receive a scholarship, you will be given the opportunity to pay the full price . If you do not pay in full, any money you have paid towards your registration will be refunded in full (see Cancellations and Refunds below).
Do not assume that you have been granted a scholarship until you receive confirmation from the GFG.

If you are selected for a Ganesha Scholarship, you agree to:

1. Commit to 8 hours of work shifts and you may be asked to help fill in vacant work shifts during the Gathering as directed by the Workshift Coordinator.
Accommodations will be made based on physical abilities.

2. Provide a one-page synopsis of your experience to Green Faerie Grove after the gathering.

Meal Plan

Attendees should plan on preparing their own food at their campsites unless they purchase a meal plan. Meal plans are $225.00. Meal plans can accommodate some dietary requirements, including, Gluten Free Friendly (not Celiacs), vegetarian and some vegan options as long as you make your needs known at registration. Individuals with complex or irregular allergies (soy, Gluten, Wheat, Nightshades) should plan on managing their own meals.
Meal plans are available in advance only. registrants will not be able to sign up at the Gathering or after registraiton ends.

T-shirts

BTW t-shirts are available on a pre-order basis with your registration. The shirts, based on a design by Carvin Rinehart, are available in S, M, L, XL, XXL, and XXXL.
Cost is $25.00 per shirt

Presentation Proposals

Workshops, rituals, and other events are the backbone of Between the Worlds. Our festival is run by and for our community. If you have something to teach and share, then submit a workshop proposal.

If you are proposing a workshop, ritual, or other event, you must also send a completed Program Proposal form after you submit your registration.

Merchant Permits

If you wish to sell or barter goods or services at BTW, you must complete a Merchant Permit application and submit it after you complete your registration. There is a non-refundable $35.00 booth fee for all merchants. You may not sell or barter without a Merchant Permit. To help keep Merchant Permit prices low, we ask that all merchants donate one item to the silent auction. The Merchant Permit entitles you to a dedicated merchant space and a listing in the Gathering guide. The monies raised from merchant fees are earmarked for the Ganesha Scholarship program.

Work Shifts

As a condition of attending BTW, each person under the age of 65 must commit to contributing two 2-hour work shifts during the gathering to assist the facilitators and the coordinators in their duties. Presenting any number of workshops or rituals at BTW counts as one 2-hour work shift. Sign-up for work shifts happens when you arrive on site. Please be on time for your shift. In keeping with the egalitarian orientation of the gathering, you must fulfill your own obligation and not place the burden on others. These jobs are necessary to help ensure that BTW functions in a safe and efficient manner for the enjoyment of all.

Cancellations & Refunds

GFG can honor requests for refunds, less a $20 processing fee, until September 1st. After that, any refund requests may not be honored. Please reach out to a GFG Board Member. If we are forced to cancel the event prior to its start, all paid registrants will receive a full refund by mid October.
